What's New for 2009/2010?
One-way trips
Upon availability one-way trips are possible between all stations for a one-way fee as specified. Please note there is no one way fee for the following cases:
- LAX/SFO/DEN/NYC to LAS NO ONE WAY FEE with PU between 10/01/10 and 10/31/10.
- DEN/NYC to LAX/SFO/LAS/DEN no OW with latest DO 03/31/11.
Minimum rentals
7-night minimum rental time or 14-night minimum with unlimited mileage package (DSS Special)
Payments
A non-refundable booking deposit as itemised in your breakdown of charges is due upon confirmation. The balance must be received 37 days prior to departure. If payments are not received when due, The supplier reserves the right to cancel the reservation. Without full payment no vehicle will be handed to the customer; no exceptions made! Bank service charges are the customer's responsibility.
Deposit
US$1000.00 which is authorized/blocked (not charged) on credit card while traveling.
Additional deposits may be required for special events such as 'Burning Man' or if no mileage has been prepaid etc.
Credit Cards
VISA, Master/Euro-, American Express cards are accepted.
Refund for Unused Portion
No refund on confirmed contract will be given if rental is returned prior to scheduled date, unused mileage or for 'no shows'.
Amendment Fees
Bookings may be changed once free of charge. US$ 50.00 per change thereafter.
Cancellation
The initial deposit paid is non-refundable. Every cancellation needs to be made in writing. In addition to forfeiting your deposit the following charges also apply: (The day of receipt of the cancellation is the date the cancellation fee is calculated from.)
63 calendar days or more prior to departure: Booking deposit plus additional USD100.00 penalty fee
62 to 33 calendar days prior to rental date: 20% of the nightly rental charge plus one-way fee if applicable
32 to 18 calendar days prior to rental date: 50% of the nightly rental charge plus one-way fee if applicable
17 to 0 calendar days prior to rental date (or no show) : 100% of the nightly rental charge plus one-way fee if applicable
Travel Insurance
We strongly recommend that clients ensure they take out the highest level of travel insurance. In many cases this will cover any losses incurred if you are forced to cancel your booking.
Changes of Bookings
One free change per booking, US$50.00 per change thereafter.
The 'Early Bird Discount' will be adjusted to the level valid at the time of name, date, vehicle or location changes.
Taxes
Taxes are included for all pre-booked items. Local taxes apply to all pick-up and drop-off charges.
Transfers
Please note that pick ups are from airport area hotels ONLY. There are no pick ups from airport terminals.
Clients cannot pick up the vehicle the day they arrive from overseas or trans-continental and the Supplier recommend that the first night is spent at an airport hotel or motel. Clients must call the rental station upon arrival or on the day of pick up between 8am and 10am at the latest, to schedule the transfer time and place. Transfers are provided to (but not from) the international airports LAX/SFO/OAK/LAS/DEN/EWR (not to JFK or La Guardia) and/or from/to airport hotels at all rental locations. In San Francisco/Denver clients will be picked up in downtown and in Los Angeles from Marina del Rey, Venice or Santa Monica for an extra charge. Transfers will be provided from Monday to Saturday between 11am and 1pm at the latest. There will be no transfers after 1pm. The complimentary permitted amount of luggage is in accordance with the airline regulations (2 suitcases @ 50pds/23kgs plus 2 pieces of hand luggage per person). Excessive luggage is the customer's responsibility.
Pick Up and Return
Vehicle pick up time is between 12pm noon and 4pm. Vehicle return time is between 8am and 10:30am. A charge of US$30.00/hour applies for a late vehicle return. Clients will not be entitled to get a complimentary transfer back to the airport terminal or airport hotel after 11am.
Hours of Operation
Monday through Friday from 8am to 5pm, Saturday from 8am to 1pm (or during season as required). All stations are closed on Sundays and on all statutory holidays. Denver branch closed from December 01, 2009 until February 28, 2010.

Driver's License and Age Restrictions
A valid national driver's license is required for each driver. In addition we recommend that foreign customers have an international driver's license or an English translation of the license issued by their home country. All drivers must be at least 25 years of age (21 years upon request).
Customer Orientation
Staff speak German and English at all locations along with Dutch, French and Italian at some locations. After completing the paperwork the clients get a very thorough personal walk through of the recreational vehicle. In addition, every vehicle is equipped with an operation manual in English/German. In case of an emergency, accident or technical problems, clients may call the emergency toll free number 24-hours a day, 7 days a week.
Gasoline, Propane and Oil
The cost of gasoline, oil and propane is not included and the Supplier does not assume responsibility for estimates of consumption. All vehicles are delivered with full tanks and the customer is expected to return the vehicle with full tanks or will be charged accordingly. If you do not return the vehicle with a full tank of fuel we will refuel the vehicle and pass on the cost of refueling to you. There will be a minimum refueling charge of US$20 in the event of the vehicle needing to be refueled by us.
Maintenance
The customer is responsible for checking engine oil and coolant levels at each refueling as well as reporting mechanical failures immediately. Coolant refills and authorized repairs will be reimbursed upon return of the vehicle and presentation of all receipts (see mechanical breakdown). It is the driver's responsibility to operate the vehicle in a safe manner and to exercise all caution possible.
Mechanical Breakdown
For maintenance and repairs exceeding US$50.00 the customer must call the 24-hour toll free telephone assistance to get an authorization. Non-authorized invoices over US$50.00 will not be reimbursed. Receipts must be presented for reimbursement. Customer will be held responsible for mechanical damage due to negligence in operation and/or maintenance.
In the Event of an Accident
Unauthorized Extension of the Rental Period
Should a customer keep the vehicle beyond the contracted period US$30.00 per hour or US$300.00 per night penalty fee in addition to the daily rate will apply. However, if the customer contacts the Supplier and obtains the proper authorization to extend, the regular rental rate will apply.
Cleaning Fee
The clients are responsible to return the vehicle with the interior cleaned and holding tanks dumped. The vehicle outside does not require cleaning by the customer. Cleaning and/or dumping charges will apply as posted at the drop off location.
Parking/Traffic Violations
It is the client's responsibility to report and pay for all parking/traffic violations at check-in. Failing to report these violations at drop off will cause a charge of an administrative fee of US$100.00 plus the fine (including all late charges) to the clients credit card.
Storage
We provide free storage of luggage at the rental station at client's own risk.
Substitution
If for any reason the booked vehicle should not be available, the Supplier reserves the right to substitute a higher-rated vehicle at no additional cost. Should a lower-rated vehicle be substituted, the liability is limited to the refund of the gross rate difference of the two vehicles.
Restrictions
Pets: Pets are not allowed.
Smoking: Smoking is not allowed in any vehicle. US$250.00 cleaning/deodorizing fee applies.
Mexico: Traveling into Mexico is not permitted.
Death Valley: Traveling into Death Valley is not permitted between June 15th and September 15th.
Alaska: Traveling within Alaska, Yukon and/or NWT is permitted. The supplier must be advised at the time of reservation
Other: Private, gravel, dirt or logging roads and other non-public roads, beaches, etc. Inner city of New York, Montreal and Quebec City (Canada)
The supplier will hold the customer responsible for accidents or mechanical breakdowns occurring in a travel restricted area.
Public Liability Insurance: (included in the daily rate)
Public Liability Insurance to cover accidents in the event that the renter is at fault. The policy protects the rental company up to US$1,000,000.00 and the renter to Statutory Limits (State mandated minimum liability coverage). Liability insurance has no deductible and current limits can be checked.
SLI - Supplemental Liability Insurance - (US$9.00/day)
The optional SLI coverage provides the customer with an increased limit of liability protection. SLI protects the renter an any authorized drive listed on the rental contract for up to US$1,000,000.00 toward 3rd party damage claims.
Premium VIP Coverage (included in the daily rate)
Security deposit: US$1000.00 (will be authorised on a major credit card)
VIP includes secondary comprehensive and collision coverage for the rented vehicle with a deductible of US$1000.00 per incident. Coverage includes, but is not limited to:
No insurance coverage is provided (liability or comprehensive and collision) while traveling into non-authorized areas including but not limited to the country of Mexico, the inner cities of New York, Montreal and Quebec (Canada).
Non-Covered Damages
Customer has full legal and financial responsibility in case of:
• Renters negligence, e.g. backing up without a guide
• Breach or violation of the rental contract.
• Damages to the interior of the vehicle.
• Damages caused by freezing or overheating of vehicle or systems (please refer to “Winterization” as well).
• Deliberate and willful damages caused by the renter or his guests.
• Damages caused to the vehicle by abuse or misuse for illegal activities.
• Damages caused by neglecting proper operating procedures, e.g. incorrect fuel type & quality, ignoring oil or coolant
levels, air pressure etc.
• Damages and losses caused during travel in or thru restricted areas and damages due to “off-road” usage.
• Damages and accidents caused under the influence of alcohol, drugs or other controlled substances.
• Damages and injuries caused by overloading the vehicle and/or exceeding the legal towing capacity (towing limit – 1500
lb maximum with proper equipment).
• Carrying more passengers than having seat belts available.
• Operation of the vehicle by anyone not listed on the rental contract or having a valid driver license.
• Operation of the vehicle by anyone not meeting the age requirements as shown on the rate sheets and rental terms &
conditions.
• Personal damages and personal property are never covered.
VIP-Vacation Interruption Protection
Should the renter’s motor home vacation be interrupted by an automotive mechanical breakdown (not accident or damages
caused by the renter) for more than 12 working hours after reporting such to the Supplier, the renter will be reimbursed for the
greater of the gross daily rental rate or expenses for hotel rooms up to US$25.00 per person per night and car rental up to
US$50.00 per day per motor home with a combined maximum of US$1,500.00 per tour.
Defects and repairs of radio, TV, CD and DVD player, generator, AC, refrigerator, heater, water heater , slide-out room,
awning, cruise control etc. are not considered mechanical breakdowns and are excluded from VIP reimbursement. Refund of
expenses is only possible against proper receipts.
Please take note:
In case of a claim, the Supplier will not act as an adjuster for any third party insurances purchased by the renter
(such as $ 0.00 deductible insurance, etc.)
Extra Information and Additional Charges
Mileage rate:
Mileage can be paid for at time of drop off at US$ 0.39 (US$ 0.45 for travel from 1 November 2010) plus local tax per mile
OR
You can pre-pay for mileage online in 500 mile packages at US$185.00(US$205 from 1 November 2010) per 500 mile package. Please note there is no refund for unused miles and these mileage packages can only be pre-paid on line. So if you know you are going to travel roughly 1200 miles you are best to purchase two pre-paid 500 mile packages online and pay for the remaining miles directly to the supplier at the end of your rental.
Convenience Kit (CK)
The convenience kit will be charged at US$70.00 per person (max. US$280.00)

The convenience kit includes: comforter, cover for comforter, sheet, pillow, pillow protector, pillow case, bath towel, hand towel, wash cloth, kitchen towel, cleaning towel, paper towel roll, broom, dust pan and brush, bucket/trash can, clothes hangers, flash light, lighter/matches, leveler, glass, cup, dinner plate, salad plate, mixing bowl, knife, fork, spoon, teaspoon, roast slicer, cookware set, can opener, cork puller, bottle opener, vegetable peeler, turner, basting spoon, slotted spoon, grill fork, whisk, coffee maker, tea kettle, measuring cup, colander, cutting board, plastic containers, toaster.
Chairs
$7.50 per camping chair. Please note Roadbear RV do not have tables, BBQs, child seats or bikes available for rent.

In the Event of an Accident
- The customer must obtain a local police report as provided by the attending police officer investigating the accident. An accident report form is supplied to the customer and is located in the vehicle along with the registration and insurance papers.
- The Supplier must be notified as soon as possible. A full-written report along with the other party's name, address, phone number and driver's license number on the supplied accident report form will be required upon return of the vehicle.
- All documents relating to the accident must include a police report or identifying number.
- Insurance coverage may be void if the above instructions are not followed.

Should the renter’s motor home vacation be interrupted by an automotive mechanical breakdown (not accident or damages caused by the renter) for more than 12 working hours after reporting such to the Supplier, the renter will be reimbursed for the greater of the gross daily rental rate or expenses for hotel rooms up to US$25.00 per person per night and car rental up to US$50.00 per day per motor home with a combined maximum of US$1,500.00 per tour.
Defects and repairs of GPS, radio, TV, CD and DVD player, generator, AC, refrigerator, heater, water heater , slide-out room, awning, cruise control etc. are not considered mechanical breakdowns and are excluded from VIP reimbursement. Refund of expenses is only possible against proper receipts.
Please take note:
In case of a claim, the Supplier will not act as an adjuster for any third party insurances purchased by the renter (such as $ 0.00 deductible insurance, etc.)
Extra Information and Additional Charges
Mileage rate:
Mileage can be paid for at time of drop off at US$ 0.45 plus local tax per extra mile.
OR
You can pre-pay for mileage online in 500 mile packages at US$205 per 500 mile package. Please note there is no refund for unused miles and these mileage packages can only be pre-paid on line. So if you know you are going to travel roughly 1200 miles you are best to purchase two pre-paid 500 mile packages online and pay for the remaining miles directly to the supplier at the end of your rental.
Convenience Kit (CK)
The convenience kit will be charged at US$70.00 per person

The convenience kit includes: comforter, cover for comforter, sheet, pillow, pillow protector, pillow case, bath towel, hand towel, wash cloth, kitchen towel, cleaning towel, paper towel roll, broom, dust pan and brush, bucket/trash can, clothes hangers, flash light, lighter/matches, leveler, glass, cup, dinner plate, salad plate, mixing bowl, knife, fork, spoon, teaspoon, roast slicer, cookware set, can opener, cork puller, bottle opener, vegetable peeler, turner, basting spoon, slotted spoon, grill fork, whisk, coffee maker, tea kettle, measuring cup, colander, cutting board, plastic containers, toaster.

All mileage must be pre-booked (no additional mileage packages or unlimited mileage upgrades available at pick up or drop off)
All branches are closed on Sundays.
Vehicles are winterized in areas with temperatures below freezing point. The water/waste water system will be drained and CANNOT be used. US$100.00 re-winterization fee and damages caused by freezing will be charged if customer de-winterizes system on the road.
Public Liability Insurance: (included in the daily rate)
Public Liability Insurance to cover accidents in the event that the renter is at fault. The policy protects the rental company up to US$1,000,000.00 and the renter to Statutory Limits (State mandated minimum liability coverage). Liability insurance has no deductible and current limits can be checked.
SLI - Supplemental Liability Insurance - (US$9.00/day)
The optional SLI coverage provides the customer with an increased limit of liability protection. SLI protects the renter and any authorized drive listed on the rental contract for up to US$1,000,000.00 toward 3rd party damage claims.
Premium VIP Coverage (included in the daily rate)
Security deposit: US$1000.00 (will be authorised on a major credit card)
VIP includes secondary comprehensive and collision coverage for the rented vehicle with a deductible of US$1000.00 per incident. Coverage includes, but is not limited to:
- Accidental damages to the vehicle (renter's or 3rd party fault).
- 'Uninsured Motorist' in case the renter is involved in an accident with a non-insured driver
- Windshield and glass damage
- Vehicle theft and fire (personal property and items in the vehicle are always excluded)'
- Vandalism
No insurance coverage is provided (liability or comprehensive and collision) while traveling into non-authorized areas including but not limited to the country of Mexico, the inner cities of New York, Montreal and Quebec (Canada).
Non-Covered Damages
Customer has full legal and financial responsibility in case of:
• Renters negligence, e.g. backing up without a guide, following incorrect GPS guidances, etc.
• Breach or violation of the rental contract.
• Damages to the interior of the vehicle.
• Damages caused by freezing or overheating of vehicle or systems (please refer to “Winterization” as well).
• Deliberate and willful damages caused by the renter or his guests.
• Damages caused to the vehicle by abuse or misuse for illegal activities.
• Damages caused by neglecting proper operating procedures, e.g. incorrect fuel type & quality, ignoring oil or coolant levels, air pressure etc.
• Damages and losses caused during travel in or thru restricted areas and damages due to “off-road” usage.
• Damages and accidents caused under the influence of alcohol, drugs or other controlled substances.
• Damages and injuries caused by overloading the vehicle and/or exceeding the legal towing capacity (towing limit – 1500 lb maximum with proper equipment).
• Carrying more passengers than having seat belts available.
• Operation of the vehicle by anyone not listed on the rental contract or having a valid driver license.
• Operation of the vehicle by anyone not meeting the age requirements and rental terms & conditions.
• Personal damages and personal property are never covered.
